What happens initially?

We provide you with log-in and passwords for your system for everyone in your team.

 

We will ‘train the trainer’ ((‘ttt’), normally there is a person who is a ‘natural’ for being the person everyone asks. We will train that person thoroughly. We will also train each user, if that’s what your company wants.

 

The original question was what happens initially. Initially we send each user or the ‘ttt’ person some straight-forward instructions for setting the designated URL as a ‘trusted site’ and then there’s a small amount of software (2-3 minutes worth) to download and that’s it.

 

We will want to electronically bring into Yoolaa everyone’s contacts, whether from Outlook, ACT!, Goldmine, Salesforce.com, SalesLogic, or from an accounting suite.

 

This may mean having to de-duplicate some entries – this is actually one of the reasons why you want a single place where all the information is held. So that there’s only one entry to keep accurate.

 

How do I use it?

We provide video tutorials and on-line training.

 

From the first step above you will have some or all our your contacts in the system, so then the easiest way into using the Yoolaa software is to immediately start dealing with your incoming emails.

 

Make sure you’ve set up the folder for emails uploaded to Link as then you will be comfortable you haven’t lost anything and you will actually see your inbox going down (try to get it to say two or three left by the end of each day.)

 

Then read each email and decide whether to delete; whether it requires a diary entry, an action or just to be filed as a document. For each one you need to decide whether you are going to deal with the action or whether you need to pass it to someone else.

 

Yoolaa will automatically link any of those to the contact with that particular email address and also the company if that person is attached to a company. Finally it’s easy to attach the action / diary entry / document to a project(s) / sales opportunity / marketing campaign.

What’s difference between Credit Control and Cash Collection

Credit Control is based on a mindset that you are prepared to lend money to your customers, credit control is seen to be about keeping that lending to a reasonable level. Cash collection on the other-hand is a concept that says we will accept payment after the work is done, our terms are for payment ‘nn’ days after invoice date, so Cash collection relates to persuading your customer that payment is indeed due on the due date.

 

So it’s a philosophical difference backed by some clever software and some routine work that puts your money into your bank account.

 

What on-going support do you provide?

Our whole life at Yoolaa is about providing you with support. We have a special page on this website about it. Extracting the key points, support to us means:

-  ensuring our data centre does what you need it to

-  testing new versions of Yoolaa software and new modules before we release them to you

-        testing new operating systems before we recommend their use to you

-  checking that our disaster recovery and business continuity plans work

-  helping you with day to day questions about alerts, queries, look-up tables,

-  providing advanced training courses for you

 

What emergency support do you provide?

Normally people do not need emergency support as our Yoolaa systems just work and carry on working. If there is an emergency it may be because you (or your IT man) have changed something on your computer for example a new browser, a new operating system, or added some extra software and in doing so has reset some of the standard settings. The solution is easy just ask us for the set-up instructions and re-install.

 

What on-going training do you provide?

At present we hold revision / advanced level training courses once every two months. The course content starts with any elements from the most recent version, includes any topics users have asked about and really is about how to get the best out of Yoolaa rather than just how does Yoolaa work.

 

To make it work best we like people to bring their own laptops, so that they’re working with their own normal environment.

 

How do I learn?

Three are three primary methods:

 

-  classically the best way is to be shown by someone in your own office, as then custom and practice ensures everyone is working the same way and the reference nos. etc are consistent

-  we are adding a series of small training videos onto this website for you to watch and listen to whenever you want to. We’ll try to keep them very precise and as short as we can

-        we hold revision / advanced training courses every two months

 

Why should I spend my money on Yoolaa?

We don’t know the answer to that question, you have to provide the answer for yourself, all we can do is provide some pointers that might trigger you into action, for example the trigger points for our customers were:

-  you’ve run out of office space

-  you want some of your people to work somewhere else in the UK, in Europe or the World

-  you want a way to check what’s happening at the office without having to go in specifically

 

-  you want to be sure you’re data is kept safe and outside a flood zone

-  you just want the office to be better organised so you can find information when there’ s no one there or they’re on holiday or they’re ill or their computer has broken down

-  you want to be able to delegate more confidently

 

-  you want to know what’s going on, wherever you are

-  you want key performance information delivered to you wherever you are

-  you want those Exception Reports as soon as possible

-  you want to save money

 

-  you want to make more profits

-  you want to put more cash in the bank

-        you want to open your new office much earlier that you thought

 

Is it possible to transfer phone calls (like you can on a normal phone exchange)? Is it dependent on the phone, or is it like pressing recall or something?

Yoolaa includes eyeBeam softphone software:
1) You have a call on line 1;
2) You put that call on hold by pressing Line 2;
3) Dial the number of the person you wish to transfer the call to (an internal OR external number);
4) Speak to the person, tell them who you've got on the line for them then:
5) Press 'XFER' and then Line 1. Call transferred!

Could you please let me know if the Yoolaa VOIP "switchboard" that you mention also works if locations are situated in different geographic locations?

The Yoolaa VoIP 'switchboard' links to upto ten PC's (extensions.) Each PC is identified by an IP address and the connection is made to the relevant IP address. These PCs can therefore be anywhere in the world. If you are using a laptop, wherever you are when you connect the laptop to the internet (including any wifi cafe or hotel) will be your geographic location at that time.

Can you tell me if it is possible, with the same phone number, to expand the number of internal connections for the one account to more than 10 if necessary (obviously for more cost)?

Yes, it is possible to expand the number of internal connections for the one account to more than 10.

To get the extra extension numbers and to increase the number of concurrent calls that can be made/received at any one time you will need to purchase additional lines (which do give you additional telephone numbers but you do not need to publicise or actively use them).

If you do not need to use the extra extension numbers immediately, you can book/reserve related extension numbers at a marginal cost i.e. our main extension number is 2002680 and when we set this up we were allocated the next 9 numbers in sequence up to 2002689, by booking more numbers at the same time we could reserve the sequence upto 2002699 or higher. Then later we can activate these extensions by purchasing extra lines.

Can I have overseas numbers linked so that the calls come straight into my UK system?

Yes and we can set it up so that you can see which overseas ‘office’ they’ve called. Overseas numbers are presently available in countries in North America, Pacific Rim, Central and Northern Europe. Our clients have lines for example in Frankfurt, Barcelona, Rio De Janeiro.
