Yoolaa integrated telephone system

External communications arrive by email, letter and by telephone. Any email converts into an action or a document, Yoolaa recognises an email address and links the contact person and company. Possible projects are listed and are linked, together with the relevant documents. The action can be annotated and re-directed to another user.

 

Yoolaa also synchronises with Outlook and through there to your PDA.

Yoolaa is your office online anywhere anytime, so Yoolaa allows you to look at all the documents and files held within Yoolaa, anywhere anytime. Documents also include pdfs, jpgs, gifs, in fact any type of file format.

 

To improve staff effectiveness data held in Yoolaa is automatically integrated within MS Word documents and out-going emails. Similarly hard copy documents are scanned in and held within Yoolaa, particularly purchase invoices and important letters.

Yoolaa helps you do all your standard office functions: confirming meetings, preparing quotes and proposals, raising sales invoices, credit control, supplier payments, purchase ordering, summaries for VAT returns, filing emails, electronic files for up-loading to Sage 50, mailshots, telemarketing, timesheet control, support helpdesk…

 

All integrated into one suite with one set of information for everyone to use and to contribute to.

The project section is used in two modes. Firstly, as normal business projects, for implementation of sales for example, abd which will have fields personalised to best support your service delivery requirements.

 

The second mode is as a straight-forward filing system for all the documents and reports you raise and receive. For example: all the corporate information on policies, accounts, tax, shareholders, IIP, personnel matters, ISO9000, buildings, business continuity, risk management, marketing materials and activities.

Every user has a diary which is open for everyone to see and which can be combined with other users. Every entry has subject, duration and content fields with users’ time & date stamp & notes, plus links to contact, company, project, documents and sales opportunity records as necessary. Diary entries also have travel time to and from a meeting plus the location. Meetings are automatically confirmed by Yoolaa.

 

To Do’s have a ‘Deadline’ date. Both Diaries and To-Do's can be entered directly into a Timesheet and edited, with expenses and distance details.

Yoolaa includes an Internet based PBX system so that all your users can be linked together, it’s free of charge and you can use the system wherever you are in the world.

 

Yoolaa enables telephone dialling direct from contact records.

 

The system includes hunt-groups, call transfers even to mobile phones.
